Position Overview:
This position plays a vital role in enhancing the efficiency and effectiveness of customer service and production scheduling by ensuring smooth data management, accurate file organization, and timely order processing. By supporting scheduling efforts and coordinating with vendors and procurement, it helps maintain a seamless flow of materials and information. The impact of this role is seen in the improved accuracy, speed, and organization of operations, ultimately contributing to better customer satisfaction and optimized production workflows.
Responsibilities:
- Accurately enter data, sales orders, and work orders into the ERP system, ensuring precise record-keeping and smooth workflows. Fix data entry errors as they arise.
- Assist with RFQ creation
- Organize and maintain part files and work order files for easy access and retrieval.
- Assist in managing the daily production schedule, helping ensure that customer orders are processed in a timely and efficient manner.
- Support scheduling efforts by tracking open orders, machine availability, and production capacity.
- Assist in the collection and organization of vendor pricing data for new business and quoting purposes.
- Support the procurement team by updating and tracking inventory levels to ensure the availability of necessary materials for production.
- Organize and manage physical and digital files, ensuring all relevant documents are up-to-date and accessible.
- Help maintain organized records of customer communications, ensuring all inquiries are tracked and resolved.
- Track and organize outside services to ensure timely delivery of materials and services.
- Support the tracking and reporting of shipping statuses, ensuring all products are shipped accurately and on schedule.
- Provide assistance to the accounting department in the preparation of documents for accounts receivable collections when necessary.
- Other essential job functions as assigned.
Qualifications:
- 2+ years of proven experience in customer service or sales support roles, preferably within a manufacturing environment.
- Proficiency in ERP systems and MS Office suite.
- Detail-oriented with excellent organizational and multitasking abilities.
- Knowledge of CNC machining and metal fabrication processes is a plus.
- The ability to self-start, keeping projects and open items on track with minimal supervision.
- Excellent communication and interpersonal skills, with the ability to effectively convey complex concepts.
- Ability to handle multiple tasks and remain highly organized in a fast-paced environment.
